ORGANIZATIONAL SUMMARY:
The USF Botanical Gardens is part of the Environmental Conservation Outreach, Research, and Education (ECORE) System within the College of Arts and Sciences. The Gardens consist of about 16 acres of gardens and greenbelt on the USF Tampa campus. The Gardens maintains a living collection of more than 3,000 of plants, animals, and natural habitats and serves as an important research, education, and outreach tool for USF. Plant festivals and other events attract enthusiasts from around the state to shop for rare and unusual plants and learn about sustainable gardening. The Gardens supports ongoing research in medical botany, biology, engineering and provide opportunities for service-learning to USF students.
POSITION SUMMARY:
This Operations Manager position will be responsible for the day- to-day financial and operational management of the Botanical Gardens and other ECORE System greenspaces. The responsibilities include administrative management of some or all of the following: purchasing, budgetary planning, space allocation and utilization, fiscal and administrative compliance, human resources administration, search coordination, and diversity. The Operations Manager reports to the Assistant Director of the Botanical Gardens. This position will work collaboratively with other staff regarding living collections and grounds, curation and records, and nursery.
RESPONSIBILITIES:
Budget Management:
In coordination with the CAS Deans Office, is responsible for managing the financial administration of foundation, auxiliary, and grants for the ECORE System.
Improve and enhance operations standards, policies, and procedures, along with tasks required for maintaining the highest standards of operations.
Maintains records and documents of daily hours for each community service worker, volunteer, and work study students.
Tracks overall day to day financial operations of the Gardens including staffing and management of the Plant Shop ensuring compliance with university policies and procedures.
In coordination with the ECORE Director, devise a sound business strategy for the Gardens and further enhancements and maintenance of the Gardens to the highest standards.
Provides financial assessments of events and programs and coordinating with the ECORE Director to evaluate their success and to modify them for future more-effective outcomes.
Operations:
Maintains records and documents of daily hours for each community service worker, volunteer, and work study students and provides documentation of records to leadership.
Maintains records and documents of space use including research, classes, student groups, and community use and provides documentation to leadership.
Collaborate with team members to create, improve, and enhance written operations standards, policies, and procedures, along with tasks required for maintaining the highest standards of Botanical Gardens operations, including scheduling staff and staff meetings.
Create, assign, and track weekly, monthly, and yearly cleaning schedule.
Oversees greenhouse operations including conditions, infrastructure and environmental controls, reports problems, investigates solutions and collaborates with Facilities and Grounds on improvements.
Maintains records of work accomplished, documenting processes and procedures for institutional stability.
Human Resources:
In collaboration with the director, manage departmental Human Resources processes, including staffing, recruitment, appointments, certifying payroll, including tracking all paid appointments and reconciling payroll expenditures and projections, HR compliance, as well as hiring plans, searches, and the management of staff and FWS employees.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a High School diploma or equivalent with four years of customer service related experience including at least one year of supervisory experience.
