Program Assistant - Crews Center - Lawrenceville, GA (Project Management)
The Program Assistant is the administrative liaison for a multi-faceted program under supervision of a program director and serves as primary contact and resource to program staff, clients, and visitors for administrative information and technical assistance. Responds to questions, requests, or needs based on specific knowledge of the program and its operations.
The Program Assistant is responsible for overseeing patient flow and ensuring the centers administrative needs are being met. Provides a variety of routine clerical functions within an office or program. Resolves routine administrative problems independently and registers new clients during open access in a timely manner, check-in and check-out clients for their appointments, schedules hospital discharge appointments, and answer telephone calls in a professional and courteous manner. Verifies authorization, treatment plans, connects orders for service, consent, and eligibility for future appointments.
This position will maintain databases, logs, and other records of routine information. Responds to requests for information and maintains an organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.Duties are typically performed in a fast-paced environment that requires multi-tasking. Duties & Responsibilities:
Answers and screens telephone calls in a professional and courteous manner.Provides clear and correct information to the caller about routine processes. Refers other calls to the appropriate staff. Alerts other staff if the call is of an emergency nature.Takes clear, accurate and complete telephone messages and routes them to appropriate staff. Greets consumers and other visitors promptly and courteously.Determines their needs, responds to their routine questions, and secures any necessary information. Schedules and re-schedules appointments for clinical staff after determining the type of appointment needed.Speaks to consumer regarding charges and verifies any insurance and other information.Works out payment arrangements as needed and collects fees from consumers. Records transactions correctly and make changes accordingly. Balances receipts and money received daily. Retrieves, screens and distributes incoming mail. Prepares and sends outgoing documents, FAXs, e-mails, and other materials, according to established procedures and confidentiality regulations. Reviews paper documents for completeness/legibility; and copies and distributes them, as assigned.Assists with routine maintenance of copier (paper jams, toner replacement, paper supplies).Classifies, sorts, transfers and/or files records and other materials using standard procedures. Maintains confidentiality of record information. Secures appropriate releases of information, as needed. Accurately enters routine data into computer forms. Reviews and corrects data that appears inconsistent or erroneous. Schedules roundtrip transportation for consumers (clients) to attend daily groups.Orders program suppliesActs as building's Safety OfficerOther duties as assigned.
Essential Duties and Responsibilities:
Minimum Qualifications:
High school diploma or GED AND Two (2) years of general office or administrative experience
Preferred Qualifications:
Minimum one year experience working in a medical/mental health setting.Outgoing, engaging and personable communication skills.Experience working in a medical or psych office, or DBHDD.Experience using Carelogic or other electronic record systems.Excellent computer skills including familiarity with Microsoft Word and Excel.Medical Terminology is essential.Highly organized and detail oriented.
