Job Summary:
The Shared Services Supervisor supports operations 24/7 and is responsible for the quality of the information entered into the government system.
The Shared Services Supervisor is responsible for the supervision of employees for their department for contract assigned. The Shared Services Supervisor is also responsible for conducting internal audit reviews to verify the integrity of the information entered and addressing issues with poor data quality for corrective action. In addition, this position is responsible for ensuring established workflows, policies, procedures and protocols, and technical operational components are performed in their department. This role is located in McAllen, TX.
Essential Functions and Responsibilities:
Ensures compliance with the company's policies and procedures and ensures changes are communicated to the team, as necessary.
Fosters effective customer and stakeholder relationships, ensuring timely communication of essential information and program changes by MVM leadership are disseminated to the team.
Implements, monitors, and ensures the effectiveness of the company's quality control plan and training programs. Escalates concerns and suggests improvement to the Site Manager.
Ensures data points collected are aligned with both operational and reporting needs.
Responsible for verifying data, tracking and updates of information related to the transfer of unaccompanied children and family units by utilizing the government database to capture relevant information.
Oversees the daily data entries on transportation related activities of minors and family units in our care in accordance with government policies and procedures.
Collects and evaluates information from government required forms for each trip, to include time of pick up, trip destination, drop off time and verifies information is captured accurately in the company systems.
Identifies and investigates records that are incomplete or erroneous and addresses errors.
Verifies that minors and family units are booked into the correct shelter location, and appropriate milestones are completed.
Reviews correspondence from the Office of Refugee Resettlement (ORR) personnel and regularly checks for updates in the UC portal, as part of docket management.
Creates monthly employee work schedule and submits to the Site Manager for approval.
Confirms each ORR facility in the Docket Control Office (DCO) has the ICE facility designation code (“DETLOC”) in the client's records system.
Reviews and validates weekly list of hanging transfers at the request of client.
Responsible for submitting government equipment inventory reports to clients and stakeholders quarterly.
Conducts random spot checks to ensure data compliance.
Identifies inappropriate employee behavior and performance issues in collaboration with Site Manager and address through corrective action.
Provides training, coaching, and mentoring to new and current staff.
Provides employee performance feedback and conducts employee performances reviews.
Ensures the proper utilization of staff and tracks overtime, in coordination with Site Manager.
Other duties as assigned.
Minimum Qualifications & Skills:
Possess a bachelor's degree from an accredited university (an associate degree with two or more years of extra relevant experience may be substituted for a bachelor's degree, or more than four years of related experience may be substituted for a degree) and,
Have at least two years or more of documented experience in a field related to law, social work, detention, corrections, or similar occupational area; and (a minimum of four years of experience is required when an associate degree with two or more years of relevant experience is substituted for a bachelor's degree or 6 years of experience in a related field when four years of experience is substituted for a degree) and,
2 years' management experience.
Demonstrate experience applicable to the goals and objectives of this requirement and appropriate for a similar program environment.
Must be bilingual in English and Spanish.
Ability to manage multiple changing priorities and follow through successfully.
Comfortable using tablet technology and company-owned system.
Must be able to type 45 WPM.
Excellent written and verbal communication abilities.
Experience working in a dynamic environment collaborating with individuals at all levels.
Works well in a fast-paced environment under tight deadlines.
Able to manage sensitive and confidential information.
Available to work a flexible work schedule including holidays, overnight, and weekends.

Must be a U.S. Citizen
Ability to obtain/maintain a Security Clearance
Favorable credit Check.
Successfully pass a background investigation, drug screen.
May be required to pass or present specific requirements depending on the program (i.e., DOT exam, vaccinations, CPR, flu shot).
