Account Specialist (Administrative)

The Account Specialist will perform sales and customer service functions for new and existing accounts from quotation, order entry, through scheduling of shipment.
ESSENTIAL FUNCTIONS:
· Develop quotes based on the product specifications set by the customer. Communicate with Engineering, Purchasing and Scheduling department to establish a process and lead time. Build cost for quotation based on gathered information from mentioned departments. Maintain accurate records for quotation. Coordinate order entry process when order is placed. Enter purchase requisitions for incoming customer supplied raw material and/or requisition to purchase raw material.
· Collect data for new customers. i.e., sales tax exempt forms, credit references, SDS (safety data sheet) if customer supplied material. Establish credit limits with the Accounting Department.
· Correspond verbally and in written copy with customers to communicate status and progress of order. Monitor orders progress through production process via the Enterprise Resource System and by collaborating with scheduling department, production leaders, and shipping department, expediting orders when necessary. Update internal documents such as open order spreadsheet daily with order information and to receive order status.
· Coordinate delivery of products with the customer, providing production lead times, delivery expectations, and documentation requirements. Ensure certifications and delivery documents are in order.
· Troubleshoot and resolve problems when product and/or delivery do not meet customer's expectations. Work with production, scheduling, and quality departments to find resolution to customer's concern. Recommend and implement systems so that same problem does not reoccur.
· Process customer complaints.
· Create return orders.
· Process credit and rebills.
· Provide technical support and answer questions about the mechanical properties and capabilities of the products created at G&S. Coordinate engineering support as necessary.
· Work with Accounts Receivable and customers to resolve payment discrepancies and ensure payments are received.
· Work in partnership with EHS department for new incoming raw material. Upload documents to OnBase for EHS approval.
· Prepare samples and associated paperwork for shipment to customers.
· Perform other duties as requested by management.
SKILLS:
· Ability to effectively establish rapport, present information and respond to questions from customers.
· Must be able to work without close supervision and be capable of self-checking completed work.
· Ability to calculate figures and amounts such as discounts, percentages, and volume.
· Ability to apply concepts of basic accounting.
· Ability to solve practical problems and deal with many variables.
· Ability to interpret a variety of instructions furnished in written, oral or schedule form.
WORKING CONDITIONS:
· Fast paced office environment.
· Great attention to detail.
· Working in group settings.
· Travel may be necessary at times.
PHYSICAL DEMANDS:
· Extensive amount of time spent at desk working on a computer and talking on the phone.
· Must be able to access all areas of operation, including second floors.
