IEEE Event Sponsorship and Activations Sr Manager (E5912) (Sales)
Job Summary The overall purpose of this position is to manage the strategic planning of our existing third party activations & experiences that can help achieve CEE objectives, deliver on client requirements, and mission to attract and engage new and existing audiences through events. This team member joins the existing Exhibits Sponsorship team, CEE, and will also be called upon to be cross-trained and support existing functions. Components of this role include identifying, evaluating, and recommending event formats, expansions, and new opportunities; creating and executing innovative and engaging on-site activations. This role will incorporate facilitating partnership agreements and managing/deepening third party relationships with co-sponsors, multi-media activations and asset development; and implementing methods of tracking results and measurable growth.
The role typically reports to a Director and manages a portfolio of projects simultaneously. This position works under minimal guidance and is a individual contributor. The ideal candidate will possess a strong background in third party sponsorships, creative ideation and planning, and on-site event management and general logistics. This role requires someone with a global perspective and passion for delivering innovative, high-impact experiences that can attract new audiences, while working cross-functionally with volunteers, vendors, and internal teams.
Key Responsibilities
Sponsorship Activation Planning: Lead the strategy, planning, and execution of sponsorship activations at select events. Manage end-to-end logistics, ensuring timely delivery of activation elements and alignment with objectives. Identify events that reflect potential target audiences for the long-term growth of IEEE. Support activations as needed for rotating locations and event iterations.
Contract Negotiation: Oversee the negotiation and management of sponsorship contracts with event organizers in coordination with internal Contracts and Legal teams. Ensure terms are favorable for all parties and manage expectations, deliverables, and timelines.
Creative Ideation & Concept Development: Conceptualize and develop unique sponsorship activation experiences that drive engagement, enhance brand visibility, and create memorable experiences for attendees.
Multi-Media Asset Creation & Management: Identify opportunities for pre-, during, and post-event content creation. Establish deliverables, work with internal and external partners for planning, and oversee creative direction and final products for distribution. Works with colleagues to develop appropriate, affordable and repeatable collateral and promotional systems
On-Site Execution & Supervision: Lead on-site activation efforts, coordinating with vendors, event staff, and other stakeholders to ensure smooth execution of all sponsorship elements. Troubleshoot any issues that arise during the event to guarantee flawless delivery.
Cross-Functional Collaboration: Collaborate with internal teams to ensure sponsorship activations align with broader business strategies and marketing initiatives. Shares key findings such as speakers, modules, and best practices with colleagues responsible for exhibits, events, experiences, etc.
Stakeholder Communication & Relationship Building: Serve as the primary point of contact, providing regular updates as requested by leadership and partners and ensuring all needs are met. Build and maintain strong, long-term relationships with key partners.
Budget & Resource Management: Manage activation budgets, ensuring all elements are delivered within scope and financial guidelines.
Performance Measurement & Reporting: Inventories existing sponsorships and agreements and maintains central view across the CEE organization. After each event, gather data on key performance metrics, evaluate the effectiveness of the sponsorship activation, and provide actionable insights through post-event reports. Works with colleagues across IEEE to understand ROI on third party event sponsorships.
Vendor & Partner Coordination: Identify, negotiate, and manage relationships with vendors, production teams, and event partners to ensure high-quality activation delivery. Ensures transparency of information in alignment with IT, CEE, and other data strategies. Works with outside drayage companies, designers, etc. to ensure elevated visual & audio production quality.
Program Management: Makes recommendations to management on new operations, processes, and tools as appropriate to accelerate growth and relevancy.

Skills and Requirements
Strong negotiation, project management, and communication skills. Expertise in on-site event logistics and problem-solving.
Ability to develop unique and engaging event concepts that align with organizational goals.
Ability to work cross-functionally with internal teams and external partners to execute seamless activations.
Willingness to travel for multiple on-site event activations throughout the year, both domestic and international
Highly organized with an eye for detail and an ability to manage multiple tasks and deadlines effectively.
Strong client relationship management skills, with a focus on exceeding client expectations.
Proactive, solution-oriented mindset with a passion for delivering exceptional brand experiences.
Excellent presentation skills
