Job Responsibilities
As a Sales Coordinator, you will provide administrative support to the Sales Office.
Your specific duties in this role will include:
• Serve as a point-of-contact for guests organizing and attending meeting events at property
• Perform various administrative tasks, i.e. run month end reports, handle miscellaneous accounting and purchasing functions
• Prepare internal and external correspondence, i.e., contracts, proposals, group resumes, event orders and rooming lists.
• Answer all incoming phone calls in a friendly, courteous and timely manner using the appropriate greeting.
• Respond to customer inquiries in a timely fashion.
• Act as a liaison between the hotel and customer to ensure successful events.
• Make individual guest reservations as needed.
• Assist with Direct Bill accounts invoicing and payment processing.
• Maintain and order appropriate level of sales collateral.
• Assist in other hotel departments as needed; i.e. Front Desk
• Maintain a thorough knowledge of hotel staff, room locations, room rates, hours of operation, amenities and selling strategies.
• Assist with communication with the hotel operations team and Managers to ensure a seamless guest experience.
• Build, manage and enter group room blocks for hotel(s) in Sales system.
• Maintain current and accurate files, i.e. client files.
• Assist in maintaining the cleanliness of the sales office and surrounding areas.
Job Requirements
We are looking for a self-motivated Sales Coordinator with a strong work ethic and a drive to exceed expectations. It is also important that you have excellent communication and interpersonal skills.
Specific qualifications for the role include:
• Three to six month's experience; One year certificate from college or technical school; or equivalent combination of education and experience.
• Hotel software (MARSHA, FOSSE) knowledge helpful
• Solid organizational, time-management and prioritization skills
