The Program Scheduling Assistant (PSA) is responsible for coordinating, synchronizing, and maintaining accurate records related to service delivery and documentation for residents and staff under the direction of administration. This role ensures that scheduling, billing, and office operations are handled efficiently, supporting the overall functionality of the program.
How will I contribute
Assist in creating and managing staff schedules based on resident ISP plans, staff availability, and training needs, collaborating closely with the administrative team and team leaders. Maintain accurate scheduling records, including validating staff clock-in/out for planned and unplanned shifts. Distribute schedules and communicate changes to staff and clients as needed. Review staff documentation against scheduled supports to ensure accurate capture of support hours and services, validating and verifying shifts as necessary. Compile accurate records for IHSS from staff documentation. Maintain accurate organizational and program financial systems and records (e.g., bill payments, receipts, statements, reports) in support of corporate financial management. Assist with making purchases and deposits as assigned. Assist in the recruitment, hiring, and training of new employees as directed. Support compliance with HR policies and updates as required. Perform general office duties including data entry, photocopying, filing, shredding, sorting/distributing mail, and providing reception and telephone services. Provide coverage for other office assistants during absences and collaborate on team assignments as requested. Perform other duties as assigned to contribute to the overall success of the program and ensure smooth operations.
What I bring
High School Diploma (or Equivalent) Class C Driving License Adult First Aid and CPR 1 year previous experience in scheduling, administrative support, or similar role. Proficiency in scheduling software and data entry. Proficient in Microsoft Office and scheduling software. Ability to handle sensitive information with discretion and confidentiality. Willing and capable of working a flexible schedule to accommodate the demands of a 24/7 service provider. Obtain certification in Adult First Aid and CPR and have the ability to perform these skills as needed. Provide proof of good physical health: verifiable by a health screening, including a test for tuberculosis, performed by or under the supervision of a physician. Possess and maintain a valid California Class C drivers license and adequate insurance on personal vehicle as well as meet the qualifications for company automobile insurance coverage. Highly organized with strong attention to detail, ensuring accurate scheduling and documentation. Excellent communication skills are essential for coordinating effectively with staff, clients, and administration. Problem-solving and time management are crucial for handling last-minute changes and optimizing schedules. Previous experience in a healthcare or residential care setting preferred
