Senior Project & Event Specialist (Finance)

Job Summary
Plans, coordinates, and executes company-wide activities, campaigns, and events with corporate, work from home and hub teams. Coordinates executive meeting logistics and all aspects of TriWest event coordination. Proposes ideas and suggests campaign themes, and drafting content for special advertisements, invitations, and promotional materials. Creative writing and strong organizational skills with high attention to detail needed. Helps coordinate TriWest presence at certain external conferences and/or other special community and industry events, including details pertaining to registration, external vendors, product procurement, and tracking project plans and outcomes. Manages inventory controls for TriWest logo products and proposes new products within established budget and under strict branding guidelines.
Education & Experience
Required:
• Bachelor's degree in Journalism, Public Relations, Communications or related field
• 5 years event coordination experience with increasing levels of responsibility including managing budgets and deadlines
• Demonstrated success in managing complex projects and programs from start to finish
• Strong verbal presentation and written communications skills
• Strong analytical skills, with the ability to measure, track, report and deliver expected outcomes
• Experience meeting tight deadlines, often for multiple projects at a time
Preferred:
• Experience in writing marketing, advertising, and promotional materials
• Experience working with web/graphic designers, writers and other communication professionals
• Experience working with C-suite executives
Key Responsibilities
• Develops project plans and event plans and coordinates projects from start to finish, including all aspects of event coordination for major corporate-wide events.
• Supports the Director, Communications and Creative Services, with large-scale project needs and executive meetings.
• Organizes specialty product quoting and selection process while maintaining an active specialty product library.
• Coordinates exhibit display and materials management for external conference booth supplies, as requested.
• Develops and maintains working relationships with remote locations to assist with event coordination and product management (specialty product quoting, ordering and distribution).
• Develops project/event tracking spreadsheets to ensure consistent, historical documentation.
• Assists with video production to support strategic initiatives.
• Keeps management informed of project progress, timelines, and special issues.
• Leads department planning for special events, campaigns, and other projects.
• Performs other duties as assigned.
• Regular and reliable attendance is required.

Working Conditions:
o Availability to work non-regular hours as required, including occasional weekend events o Works within a standard work-week schedule, with minimal travelo Ability to cope in a fast-paced, high-profile, deadline-driven environment
